AP Coordinators

I wanted to touch base with you this last day before the 2 weeks of AP
begins! I know many of you have also had to do EOI exams so next week is
just a continuation of testing.

I have two things for you today:

First, just a couple of reminders.
• Career Tech folks need to be sure to put the home school's AP code on
the answer sheet. This applies whether the student is testing only at
the Career Tech or at the Career Tech and home school. There is no
scenario (except a home schooled student) where a Career Tech will use
their own AP code.
• Home schools need to be sure students have their student pack when
they go to test at the Career Tech. Students should only use one
student pack per year so the Career Tech and home schools have to
share.
• Career Techs need to be sure to code their students as section 9 in
order to receive separate data on their students.
• OSSM sites need to be sure to code their students as section 8 in
order to receive separate data on their students. (For you Catch 22
fans, the section 8 doesn't mean anything like that!)
• If you are not sure of a home school code or where to code the
sections, give me a call. I'll be here until 4:30. My number is
below in my signature block.
• I will be in the office for the next two weeks so give me a call if
you run into trouble.

Second, remittance information.
• I normally have a Video Conference that goes over the remittance
procedure, but this year I have recorded the information in a Webinar
format. You can access the Webinar here:
http://sde.state.ok.us/Curriculum/AP/Coord.html
• It's in a white box labeled, AP Exam Remittance Procedure.
• At that site, you'll also find a copy of the powerpoint (including my
notes), a handout with the steps lined out, and a copy of the
Supplemental Roster for Option 2 students.
• It is about 30 minutes long, and you can access it whenever is
convenient for you. No more having to fit into my schedule or the
Video Conference schedule! Hopefully, we'll save lots of time and gas!
• Be patient! It takes a bit to load the Webinar. Then, I waited to be
sure the recorder was going before I spoke. Never knew 15 seconds
could seem so long!
• If you are unable to download the Webinar, look at the Remittance
Procedure handout. You might be able to just follow that without the
Webinar. If not, check with your tech person to see how you might be
able to watch it.
• I know you are SUPER busy - BUT - you might consider watching the
Webinar before you mail the exams back to be sure you are clear on
Option 1 and Option 2 fee reductions. The remittance information
comes from your testing which might already be sent back by the time
you start working on the invoice. Then, alas, it's too late. I'm
just sayin'.
• If you are a pro at this, feel free to skip the Webinar. There is
only one major change that I saw - you have to submit the invoice
electronically as well as by mail - but that's done with a click of
the mouse. Not big thing for an AP Coordinator!

Good luck to you! You are ALL very much appreciated! Students, parents,
faculty and administrators might not say it much - but you are! Let me
know if there is anything I can do to help you out!
